Welcome, friend!
I’m so excited to capture the bond you share with your horse or pet. My goal is to make this experience relaxed, fun, and stress-free for both you and your animal.
Please take a few moments to review these studio policies before applying to your session.
By completing your application, booking, or submitting payment, you acknowledge that you’ve read and agreed to the following terms.

Retainers & Payments

A non-refundable retainer is required to reserve your session date. Your date is not officially booked until this payment is received.

The retainer will be applied toward your total balance.
-
The remaining balance is due by the day of booking, unless a payment plan has been arranged in writing.

All payments are non-refundable, but your session may be rescheduled once if proper notice is given (see below).

Rescheduling & Cancellations
-
Please provide at least 14 days notice if you need to reschedule.
-
Your retainer may be transferred one time to a new date within 90 days of your original session.
-
Reschedules made with less than 14 days’ notice or no-shows will result in loss of the retainer and require a new one to rebook.

Cancellations forfeit all payments made.

Animal Health & Safety

Your animal’s safety and comfort are top priority.
-
If your horse is lame, injured, or ill, or your pet is showing signs of illness or distress, please contact us within 48 hours of your scheduled session to discuss rescheduling options.

Animals that are visibly sick, injured, or unsafe to handle cannot be photographed.
-
Sessions may be rescheduled if your animal’s condition could cause them stress or discomfort.

Weather Policy
-
Outdoor sessions will be rescheduled if weather conditions could negatively affect the safety or well-being of your animal or the quality of the photos.

If temperatures reach 85°F or higher, or if there are unsafe weather conditions (storms, strong winds, extreme cold, etc.), your session will be rescheduled to the next available date.

Overcast skies are not considered poor weather and can actually produce beautiful light — so we won’t reschedule for light clouds alone.

Guests & Additional People on Set
To maintain a focused, professional, and distraction-free environment, unapproved guests—including friends, family, or anyone arriving “to hang out” or observe—are not permitted at sessions. If an unapproved guest arrives and is not actively involved in the session with prior authorization, they will be asked to leave.
Our sessions are designed with intentional planning and creative direction. Additional people on set can disrupt the flow, create confusion, and compromise the quality and vision of the work being produced. With over a decade of professional experience in portrait photography, Bethany has refined a process that ensures the best possible experience and final results for every client. Maintaining a controlled environment is essential to that process.
For these reasons, only those who have been explicitly approved in advance may be present during the session.
Session Day

Please arrive on time and ready to begin at your scheduled start time. Bethany will arrive 10 minutes prior to the start time of your session.

Late arrivals may reduce your session time to stay on schedule.

Horses and pets should be clean, well-groomed, and comfortably acclimated to their environment before the session begins.

Handlers are responsible for ensuring animals are safely restrained or controlled throughout the session.

Unauthorized Assistance & Behind-the-Scenes Recording
To maintain the safety, flow, and artistic integrity of every session, the following policies apply:
• No unauthorized assistance or additional photographers are permitted during the session.
If you would like someone (friend, family member, trainer, assistant, etc.) to be present, you must provide a minimum of 24 hours’ notice for approval.
• Absolutely no photography, videography, or behind-the-scenes recording is allowed by anyone other than the contracted photographer, unless express permission is given in writing beforehand.
• Friends, family, and trainers are not permitted to take photos or video during the session under any circumstances.
• If unauthorized recording or assistance occurs and continues after a verbal warning, the session will immediately be halted, the photographer and team will leave the property, and no images will be delivered.

No refunds will be issued in these circumstances.

Image Reveal & Orders

Your image reveal & ordering appointment will take place within 2–3 weeks of your session.

All image and product sales are final once ordered.

Payment plans are available, but products and digital files are only delivered once the final payment has been made.

We really want you to be excited about viewing your portraits, and therefore, we do not offer "sneak peeks".

Special Editing Requests
Bethany Quinn Studios/ Bethany Quinn Equine maintains a consistent artistic style that reflects years of professional experience and brand identity. For this reason, special editing requests outside of our established style are not offered. This includes, but is not limited to:

Color picking or selective color edits

Superimposing or compositing images
-
Altering backgrounds or adding elements not present during the session

Any edits that significantly change the artistic integrity of the original image
All editing is completed in the signature style of Bethany Quinn Studios/ Bethany Quinn Equine to ensure quality, consistency, and authenticity. Requests outside this scope will not be accommodated.
Clients who desire a more customized creative approach are welcome to pre-pay for a composited image, where elevated editing options within our stylistic boundaries may be available. Be sure to ask Bethany about this.
Ordering Appointment Requirements
All ordering appointments require a device with a screen large enough to properly review images (such as a laptop, desktop computer, or tablet). This ensures clients can view their portraits accurately and make confident selections.
If a client does not have access to an appropriate screen, the following options are available:

In-Studio Ordering Appointment
Clients are welcome to conduct their ordering appointment at Bethany’s office at no additional cost. -
On-Location Ordering Appointment
Bethany can travel to the client to conduct the appointment in person. A travel fee will be applied, determined by distance and time.
Ordering appointments conducted on small screens (e.g., phones) are not permitted, as they do not accurately represent image detail, color, or quality.
Guests Attending Ordering Appointments
To maintain a smooth and focused decision-making process, all guests—whether attending in person or virtually—must be confirmed at least 24 hours prior to the ordering appointment.
Unconfirmed or last-minute attendees will not be permitted to join the session. This policy ensures that the appointment remains organized, efficient, and supportive of the client’s experience.

Client Responsibility

Please read all pre-session materials and prepare your horse or pet according to the prep guide provided. You can find the equine prep guide here.

It’s your responsibility to ensure your location is safe, accessible, and permitted for photography.

Your experience is a collaboration — clear communication and preparation help make the magic happen!

Product Resolution and Refund Policy
Product Resolution
We do not make changes to custom cover fabrics or colors after your viewing and ordering appointment.

Upon receiving your portrait products:

If there’s damage to your product please send the following information.

Photos of the product from above, below, right, and left.

Email images and details to bb@bbquinnphotography.com

We’ll review your request and respond via email within 5-7 business days.

If damage to the product appears self-inflicted the request will be denied. We work very closely with our print lab in ensuring quality in the creation of your print products. This includes shipping as well.

Refund Policy
Due to the custom nature of your portraits, all sales are final.

Here at BQS, we will not tolerate hate speech, verbal, bullying, and physical abuse, or harassment of any kind. If we are met with any responses with the aforementioned above, we have the right to refuse your business at any time.

Code of Conduct & Communication Policy
Bethany Quinn Studios and Bethany Quinn Equine maintain a zero-tolerance policy for bullying, harassment, discrimination, or hate speech of any kind. Clients who engage in behavior that is disrespectful, hostile, or harmful—whether directed toward Bethany, her team, other clients, or members of the community—may have their communication privileges limited.
Accordingly, Bethany Quinn Studios and Bethany Quinn Equine are not obligated to provide gala information, updates, or invitations to any individual who has exhibited bullying, harassing behavior, or hate speech.
This measure ensures a safe, respectful, and inclusive environment for all clients and participants.

Final Note
Every session is crafted with care, patience, and love for animals. These policies protect your time, the photographer's time, and the well-being of every animal involved.
By applying, booking your equine or pet session and submitting payment, you acknowledge and agree to these policies.
